The challenge
There was no central system to track supply and demand for pharmaceutical products. Everything was done manually via email, spreadsheets, and documents. This wasted time, caused delays, lost data, and led to costly mistakes.
What we did
- Created a central Airtable system that's simple to use and easy to adjust as needs change.
- Used AI to scan emails, structure the data, and add context automatically. Now all inquiries, offers, and supply/demand data go straight into the system, already organized.
- Set up automatic RFQ creation and emailing to suppliers.
- Automated the creation of client offers and purchase order (PO) documents, which used to be done manually.
- Built a dashboard to track supply, demand, and sales in real time and spot trends easily.
Results
- Faster process: Each salesperson saves about 10 hours per month. Inquiries are handled much faster.
- Fewer errors: AI automation cut down human mistakes. Built-in reminders and checks keep everything on track.
